Position Summary:

The Office of the Registrar at the University of Wisconsin-Platteville is seeking applicants for the position of Class Schedule and Transfer Credit Equivalency Specialist.  This position maintains transfer information in the student information system and in transfer databases. This position also assists with building and updating the class schedule and assigning classroom space.  In addition, this position enters curricular updates within the student information system and assists with annual catalog production. This is a full-time, 12-month basis position, offering excellent employee benefits. The position reports to the Assistant Registrar and performs duties under limited supervision.  A twelve-month probationary period is required. The normal working hours for this position are 7:45am to 4:15pm, Monday through Friday.  Limited travel and limited evening hours are required.

Responsibilities:

  • Utilize the Transfer Evaluation System (TES)  to build and maintain transfer rules in PASS (PeopleSoft Student Information System) in collaboration with Admission and Enrollment Services and the Center for Distance Learning.
  • Research and resolve issues with TES and PASS course equivalencies.
  • Serve as campus liaison for the University of Wisconsin System’s Transfer Information System (TIS).  Validate TIS information for accuracy and enter manual adjustments as needed.
  • Create and update PASS class schedule for future terms.
  • Resolve problems with class schedule with academic departments and respond to requests to change classroom, instructor, and enrollment caps.
  • Provide assistance for room optimization and classroom assignments using Ad Astra room scheduling software.
  • Schedule meetings in classrooms for internal groups and external organizations in classrooms when appropriate.  Update PASS and Ad Astra with final examination rooms.
  • Collaborate with catalog team to produce annual catalog.

What You’ll Need to Succeed:

Minimum Qualifications:

  • Associate's degree from an accredited institution.
  • Two years of office experience.
  • Strong organizational and time management skills.
  • Exceptional attention to detail.
  • Proficiency in the use of personal computers and current software applications, including, but not limited to, the Microsoft Office suite.
  • Outstanding written, verbal, and interpersonal communication skills. ​

Preferred Qualifications:

  • Bachelor's degree from an accredited institution.
  • Experience working in a Registrar’s Office or Student Services in Higher Education.
  • Experience with a Student Information System, such as PeopleSoft.
  • Experience with room scheduling software, such as Ad Astra.
  • Experience handling confidential information.
